Information regarding Kyoto University Gender Equality Promotion Center Nursery Room for Sick Children

Kyoto University Gender Equality Promotion Center Nursery Room for Sick Children ("The Kyoto University Nursery Room for Sick Children" commonly called “Ko・Mo・Mo”) is a day care facility that provides care for sick or convalescent children when they cannot attend their regular day-care facility, kindergarten or elementary school. The Kyoto University Nursery Room for Sick Children, which is staffed by nurses and childcare workers, provides appropriate care for sick children in collaboration with Kyoto University Hospital. All the students and faculty/staff members at Kyoto University are eligible. (The Kyoto University Nursery Room for Sick Children was established as part of an initiative supported by the 2006-2008 Special Coordination Funds for Promoting Science and Technology of the Japanese Ministry of Education, Culture, Sports, Science and Technology, "Comprehensive Support for Women Researchers-Kyoto University Model.")

Outline of the Kyoto University Nursery Room for Sick Children

  • Location: On the 5th floor of the Visitor medical-examination building, Kyoto University Hospital (Enter from the East Entrance of the Visitor medical-examination bldg. and go up to the 5th floor by the nearest elevator on the right) Kyoto University Hospital
  • Eligible children: Ill or convalescent children of faculty/staff members and students of Kyoto University
  • Age: From 6-month-old to 3rd-year of elementary school
  • Maximum number of children to be admitted: 5 including children in the isolation room
  • Open: Monday through Friday (Except national holidays, foundation day(June 18), December 29 to January 3, and other days on which the Director of the Gender Equality Promotion Center decides to close the room for reasons deemed to be valid)
  • Service hours: 7:30 - 19:00
  • Hourly fee: 500 yen per child (including lunch and snack) 
    *Student users are subsidized half of the fee by the University
  • Staff on site: Nurses, child care workers
  • How to use the service:
    Advance registration (free of charge) is required before 16:00 of the day prior to your intended use date. A copy of your staff ID card (except IC Card), student ID card, Notice of Employment or other documents issued by Kyoto University should be attached to the Advance Registration Form. If you don’t have any of the above, please contact to the nursery room in advance.
    Advance phone reservation is required between 12:00-19:00 on the day prior to your intended use date or between 8:00-16:30 on the day of use.
    You will also need to have your child examined by a physician and get the physician to fill in a Physician’s Report form, in advance. A prior medical examination can be performed at the outpatient unit of the Department of Pediatrics, Kyoto University Hospital (reception: 8:15 a.m. - 11:00 a.m.).
    Nursery Room for Sick Children does not allow our users to use the Urgent Care Clinics or the Night Emergency Medical Services for filling “the Physician’s Report.”

The Nursery Room provides care for sick children in Japanese.In case you are not fluent in Japanese, you need to come with someone who can interpret for you when you use the nursery room as well as calling for a reservation in order to avoid miscommunication problems.

* The Kyoto University Nursery Room for Sick Children is covered by the Comprehensive Non-Life Insurance for National Universities and Liability Insurance for National University Hospitals.

Flow from Registration to Use of Service

1. ADVANCE REGISTRATION

To use the Nursery Room for Sick Children, advance registration (free of charge) is required by the day prior to your intended use date.The registration form can be downloaded here. Please fill out the registration form and send it via e-mail to byojih  kuhp.kyoto-u.ac.jp.
A copy of your staff ID card , student ID card, Notice of Employment or other documents issued by Kyoto University should be attached to the Advance Registration Form.If you don’t have any of the above, please contact to the nursery room in advance.
If there is any change in information contained in the registration form, the registered person must apply for re-registration.When the registered person leaves Kyoto University, the person needs to contact the Nursery Room for Sick Children.

2. PRIOR MEDICAL EXAMINATION

The Kyoto University Nursery Room for Sick Children provides nursery care for sick children, regardless of whether they are ill or convalescent, but will not accept children with an infectious disease like influenza or if they are in a critical condition. To determine whether your child is suffering from an infectious disease or serious illness, your child must be examined by a physician before visiting the Nursery Room. A prior medical examination is also important to ensure that the child-care workers understand the health status of your child and appropriate care can accordingly be given.

You may have your child examined by your family doctor or at the outpatient unit of the Department of Pediatrics, Kyoto University Hospital. At the time of the medical examination, please be sure to show the explanatory letter to your doctor and ask him/her to complete the Physician’s Report.

Nursery Room for Sick Children does not allow our users to use the Urgent Care Clinics or the Night Emergency Medical Services for filling “the Physician’s Report.”

<CHILDREN INELIGIBLE FOR ADMISSION TO THE ORDINARY NURSERY ROOM >

  • In the acute phase of a highly contagious infectious disease (chicken pox, mumps, measles, rubella, influenza, rotavirus etc.)
  • Susceptible to infections and likely to develop severe symptoms once infected (e.g. taking immunosuppressant drugs due to leukemia or cancer, severe heart disease, severe renal disease, collagen disease etc.)
  • Dehydrated from constant vomiting and/or diarrhea (dry skin/lips, few or no tears when crying, deadly inactive or drowsy, etc.)
  • Having respiratory difficulties due to coughing with wheezing (including asthma attacks)
  • When the physician judges that it is impossible for the child to attend the Nursery Room

<CHILDREN ELEGIBLE FOR THE ISOLATION ROOM >

  • With a fever of 38.5°C or higher
  • Showing gastroenteritis symptoms such as diarrhea and vomiting
  • Having coughs and/or sore throat, but cannot wear a mask due to acute upper respiratory inflammation or bronchitis
  • When the physician judges isolation necessary

<REGARDING INFECTIOUS DISEASES >

Nursery Room for Sick Children will not accept children who are diagnosed with an infectious disease listed below on a prior medical examination. We need to follow Kyoto University Hospital administration policy since the Nursery Room for Sick Children is located in the Hospital and must prevent any hospital-acquired infection.

3.RESERVATION FOR NURSERY SERVICE

Advance reservation is required to use the Kyoto University Nursery Room for Sick Children. You must make a reservation no later than the day prior to your intended use date by phone, except in an emergency. Admission is on a first-come, first-served basis. Applications will close when all available places (five) are filled for that day. However, an application on the day of the visit will be accepted if there is a vacancy.

After making a reservation, please read “Notice Regarding Establishment of Isolation Room,” download necessary documents such as ”Application Form” and “Use Consent Form,” and fill them in before visiting the room

4.WHEN BRINGING YOUR CHILD TO THE NURSERY ROOM

THINGS TO BRING TO THE NURSERY ROOM

  1. Application form,(every time you use the nursery room)
  2. Physician’s report
  3. Use consent form(for the first use)
  4. Student ID(Undergraduate and Graduate Students only)
  5. Medication that your child is currently taking (including medication to be taken only when necessary)
  6. At least three spare sets of clothing,face towel etc. (Clothing and other personal items should be clearly marked with your child’s name.)
  7. Plastic bags for laundry
  8. Diapers, wet wipes (if necessary)
  9. Baby formula, baby’s bottle (if necessary)
  10. Baby foods (if necessary)
  11. Allergy-free snacks and packed lunch (if necessary)
  12. Child’s favorite toys and books (few items only)
    *Children’s books and toys are available at the Nursery Room.

In case of emergency

Kyoto University Nursery Room does not provide medical treatment, such as injection and intravenous fluids. If a child becomes sick and needs the immediate attention of a physician, the care provider will call the parent or other emergency contacts to ask that the child be picked up.

Please be advised that if the parent or other emergency contacts cannot be reached, or when the nurse judges that the child needs emergency treatment, the Nursery Room will take the child to the outpatient unit of Kyoto University Hospital.

Payment of fees

Monthly bills will be sent to the address listed in the bill address field in the application form (your home, laboratory or department) from Kyoto University Gender Equality Promotion Center. Please transfer the amount billed to the designated account by the deadline. (Transfer fees are charged to the user.)
